1. Cleobury Country Archers:
    • The club shall be called “Cleobury Country Archers”, hereafter referred to as the club.
    • It will be affiliated to ArcheryGB formerly the Grand National Archery Society (GNAS) through the West Midlands Archery Society and the Shropshire Archery Society.
  2. Aims And Objectives:
    • To provide the opportunity to practice archery, and develop archery skills, in a relaxed, social environment.
    • To promote the club locally.
    • To accept new members of all ages (minimum age applies) and abilities.
    • To foster a duty of care by members to all other members of the club.
    • To make available opportunities to compete if members wish to do so.
  3. Membership:
    • Membership will consist of the officers and members of the club.
    • All members will be subject to the constitution and by joining the club will be deemed to have accepted its regulations and its codes of conduct.
    • Members will be enrolled as either an Adult, a Junior or as a Social member.
  4. Membership Fees:
    • Membership fees will be set annually at the annual general meeting (AGM).
    • Club fees will be due on the 1st of April.
    • All fees must be paid to the treasurer by the due date, or to the secretary or chair if the treasurer is unavailable. A receipt for all fees will be given.
    • In addition to the annual subscription, all members will pay affiliation fees to the ArcheryGB, the regional society and the county society through the club, as specified by the treasurer, unless those fees have been paid by other means.
    • Members will be enrolled as an Adult (over 18); a Junior (under 18); or as a Social member (one who is non-shooting and does not pay fees to the ArcheryGB).
  5. Committee:
    • The club will be managed through the management committee consisting of: Chair; Records officer; Secretary; Treasurer; 4 full adult members of the club.
    • Only holders of these posts will have the right to vote at meetings of the management committee.
    • Meetings will be organised by the secretary 4 times a year.
    • Proposals for alterations to the club structure or assets must go to the committee for approval; no alterations will be made without their permission.
    • All committee members will resign at the AGM and will be eligible for re-election immediately.
    • The committee will be responsible for disciplinary hearings of members who infringe the club constitution/ArcheryGB regulations.
    • The committee will be responsible for taking any disciplinary action following such hearings.
  6. Finance:
    • The club treasurer is responsible for the club’s finances and maintaining accurate accounts of the club’s expenditure and income.
    • All club monies will be banked in an account held in the name of the club.
    • All withdrawals from club funds should hold the signatures of the treasurer and either the club secretary or chair.
    • An audit of club accounts must be made if 5 committee members request it.
    • The club treasurer will present a full statement of accounts, to the club’s chair and secretary, 28 days before the AGM. The chair, secretary and treasurer will then present the verified accounts to the committee at the AGM.
  7. Annual General Meetings:
    • The club secretary will give at least 28 days notice of the AGM.
    • Election of the committee will take place at the AGM.
    • All full members over the age of 16, at the time of the AGM, have the right to vote at the AGM.
    • Volunteers for election to the following year’s committee will submit their name to the club secretary prior to the AGM.
    • An emergency general meeting (EGM) may be called by the committee or by one quarter of the club members.
    • Procedure for EGMs will be the same as an AGM, with the exception that notice will be given by the club secretary no less than 7 days before the EGM.
  8. Discipline And Appeals:
    • Complaints about the behaviour of members should be submitted to the secretary in writing.
    • The committee will meet to hear complaints within 14 days of a complaint being lodged. The committee has the power to take appropriate disciplinary action including the termination of membership.
    • The outcome of a disciplinary hearing should be notified in writing to the person who lodged the complaint and the member against whom the complaint was made within 7 days of the hearing.
    • There will be the right of appeal to the management committee following disciplinary action being announced. The committee should consider the appeal within 14 days of the secretary receiving the appeal.
  9. Dissolution:
    • A resolution to dissolve the club can only be passed at an AGM or EGM through a majority vote of the club members.
    • In the event of dissolution any remaining assets of the club will become the property of the Shropshire Archery Society.
  10. Amendments To The Constitution:
    • The constitution will only be changed through agreement by majority vote of the committee or AGM or EGM.
  11. Club Equipment:
    • The committee is responsible for the maintenance of club equipment.
    • The committee has the right to request all members to take an active part in this work.
    • No member shall purchase equipment on behalf of the club without the authorisation of the committee. When such authorisation has been given, the member shall be reimbursed on production of proof of purchase or invoice.
  12. Events:
    • All adult members of the club will be required to participate in at least two fundraising events or tournaments organised by the club each year, or risk losing the right to vote at the AGM and EGMs.
  13. Declaration
    • Cleobury Country Archers hereby adopts and accepts this constitution as an operating guide regulating the actions of members.
